1 - Privacy policy


As you know, xBrain and its product suite were built on the belief that your data is your property and should be under your full control.

In order to help you with your privacy efforts and in accordance with the updated EU’s General Data Protection Regulation (GDPR), and other global personal data management regulations we have updated our portal Privacy Policy.

This policy provides you with full transparency on what data we collect from you, how we use it and how you can access and control it.


2 - Data anonymization


To ensure that xBrain does not keep any personal data provided by your customers in our AI conversational solution satisfaction.AI, we have created and implemented a new feature: Data Anonymization.

This feature will be applied or not, depending on these 3 situations:

In most instances, our xBots do not require any personal data to operate (Situation 1 above).

However, if your customers enter personal data without being asked (Situation 2 above) or if your xBot needs personal data to operate (Situation 3 above), we have implemented a process using this new data anonymization feature that you can review here:

In case you need to keep this data in your systems, it remains accessible in the portal or via our APIs before this new anonymization process. Please contact your xBrain customer success manager or send a meeting request at contact@xbrain.ai to discover theses new features in full.

3 - Which data can be anonymized?


In conversations, the following data will be impacted by our Data Anonymization feature:

  • First name
  • Last name
  • Mailing address
  • Postal address
  • URL
  • Phone number
  • Password
  • Dates
  • Number > or = 4
  • IBAN numbers
  • Social Security Number

NB: Please Note that for now this data anonymization feature in this first version has the following limitations :

  • Phone number, mailing address, first name Data can be anonymised only by country. If your xBot is set to respond to US user, the anonymization feature will impact only number US phone numbers.
  • Only last name with title (Mr/Mrs with uppercase letter) can be anonymized.

4 - To sum up


For all xBots in both production and testing environment:

  • Live session handler: Data is never anonymised to allow your customer specialists to do their job

  • Pending, classified, archived or test set sentences: Data will be anonymised Live

  • Transcripts: Data will be anonymised systematically after 28 days from the data entry
